Each morning it sends his email priorities and follow-ups on WhatsApp, with a one-page briefing he prints. At 10 pm it sends tomorrow’s meetings, and his follow-ups go straight into Google Tasks.

Not every one of these needs AI. Sometimes the fix is a setting in software you already pay for, and I’ll tell you when it is.

Your first fix

We pick the job that’s costing you most and measure how long it takes now. I build the simplest fix with the tools you already use, and it runs alongside the old way until it’s proven. Then I hand it over to someone on your team, with training and a one-page guide.

    We choose the job worth fixing first and measure it as it is today: how long it takes, how often it happens and what goes wrong. We agree those numbers before I build anything.

The 30-minute call is free. The first fix has a fixed price. If you keep me on as your embedded AI lead, it’s a monthly fee with a three-month minimum.

The first month goes on planning and building, the second on the trial, and the results show up in month three. That’s why the minimum is three months.
Bigger builds, quoted separately
If a job is too big for the monthly fee, I quote it before any work starts.
Software and usage costs
Software subscriptions, hosting and AI usage are listed separately from my fees. I don’t take commissions on any software I recommend. Wherever practical, the accounts and data stay in your name.

Within two working days of the call, you get a written quote for the first fix, including the timeline and how we’ll measure it.

Built on the software you already pay for.

Tools change weekly. Good workflows should outlast them. I start with what you already use, and a tool only changes when the improvement justifies the disruption.

Your accounts
Wherever I can, software is set up in your business’s name, not mine. If we stop working together, you keep everything.
Your data
I handle personal information in line with POPIA, South Africa’s privacy law. Client information only goes into business accounts that don’t use it to train AI models, and each system gets access to only what it needs. Our agreement sets out how your data is protected and what happens to it when the work ends.
No commissions
I don’t earn anything from the software I recommend, so the only question is what fits your business.

The first conversation

What happens on the 30-minute call?
You bring one admin job that eats your week, and I ask how it works today: how often it happens and what goes wrong. I’ll tell you whether it’s worth fixing. If it is, you get a written quote for the first fix within two working days.
Do I need to know anything about AI?
No. That’s my job. Bring a question, a frustrating task or a description of your working day. You don’t need the technical answers.
Can we meet in person?
The call is online. If it helps, we can meet in Johannesburg or Cape Town after that.

Working together

How much time will you need from me?
A few hours for the first fix: explaining the job, agreeing the numbers we’ll measure, and practising on your own tasks. We agree the time when I quote. On the monthly arrangement, there’s a short check-in every week.
How do you get to know how I work?
We start with a conversation about your day, the tools you use and where work gets stuck. Then we measure the job as it runs today, so we both know what the fix has to beat. If watching part of your work would help, we agree that together.
Can you help my team, not just me?
Yes. At Caveat Capital, I set up a contract library for the team and trained them on their own documents. Every team setup includes training on your own tasks and a named person who runs it day to day.
Will AI replace my staff?
At Caveat Capital, it meant they didn’t need to hire. The aim is to take repetitive admin off the people you already have, so they spend more time on the work you hired them for. A person still checks anything that matters.

Your setup

Will I need to change the tools I use?
Not unless it’s worth it. I start with what you already use, and any change is explained before you decide.
What access would you need to my tools and documents?
Only what the job needs, agreed before anything is connected: which tools and documents, what the system may do, and how you can switch it off. You and your team approve anything consequential. I don’t ask for account access on the call.
What happens if something breaks?
The person on your team who runs it has a one-page guide to what to check and what to do. If it’s beyond them, they contact me. Fixes are included for 30 days after handover. After that, they’re included on the monthly arrangement, or quoted before I start.
Will my setup go out of date?
I test new tools and changes to the ones you use, and we look at anything worth changing in the weekly check-in. Keeping your setup working is part of the monthly arrangement, along with the next job each month. Bigger builds are quoted before any work starts.

Costs and results

How will I know what it will cost?
Within two working days of the call, you get a written quote for the first fix, including the timeline and how we’ll measure it. If you keep me on afterwards, the monthly fee is agreed before we start, with a three-month minimum and then month to month.
What if it doesn’t work?
Before the trial, we agree what would count as not working, for example if checking its output takes longer than doing the job yourself. That line goes into your written quote. If the fix hits it, we stop, and you only pay for the work already done. On the monthly arrangement, a stopped job’s share comes off your fee.

We’ll look at how it runs today, which parts should stay with a person, and whether it’s worth fixing. If it is, you’ll have a written quote within two working days. You don’t need an AI strategy, a technical brief or an existing AI system.

I work with at most eight clients at a time, so I can stay personally involved.

The call is online. If it helps, we can meet in Johannesburg or Cape Town after that.
